Fall 2019 Shred Day is October 23

Shred Day is scheduled 8:30-11 a.m. Wed, Oct. 23, to properly dispose of university paper records on the Manhattan, Salina and Olathe campuses. Please review the university retention schedule to ensure accuracy in sending records for destruction. Further policy information governing records management includes the university’s records retention policy, PPM Chapter 3090.

Examples of documents for shredding (pending compliance with applicable retention schedules) include: Scantron forms; greenbar grade sheets; rosters printed from K-State Online, KSIS, SIS, etc.; papers with personal identity information; data with credit card information; personnel files; and more. Papers can be left in ring binders, spiral bound notebooks, file folders and hanging file folders for shredding.  All paper must be dry.

Departments can place their paper documents with personal identity information (Social Security numbers, birth dates, credit card numbers, etc.) in designated bags and boxes to:

  • Manhattan campus:  Deliver to the NW corner of Bosco Plaza near 17th St.
  • Salina campus:  Deliver to the loading area between the east and west wings of the Technology Center.
  • Olathe: Deliver to the loading dock.

Bags or boxes should not weigh more than 25 pounds each and should be accompanied by a Campus Shred Day form.

Please Note: the related university retention schedule (SeriesID) must be entered on the Shred Day form. Please call 785-532-5013 for assistance regarding retention schedules.

On the Manhattan campus, departments with more than five boxes or bags can contact the Information Technology Assistance Center at 785-532-4918 to schedule a time and location for pickup.  Please do not leave bags for shredding unattended.

What happens to the paper once it leaves campus? All paper is shredded to one-half inch particulate size, then mixed and tumbled and eventually compressed under 70,000 pounds of pressure into paper bales. The bales are transported to a paper mill and recycled into other paper goods.

We will be offering a limited service again this year for shredding light storage media (floppy disks, flash drives, etc.).  As in the handling of paper, the media must be delivered in boxes weighing less than 25 pounds each. Electronic records need to correspond with the university retention schedule; just as with paper records. If you have a significant amount of electronic records, please contact the University Records Manager for further assistance and inventory. The collected media will be destroyed by the vendor.

iTAC and Records Management staff reserve the right to refuse items that are unacceptable for transport, or too large for reasonable accommodation.
