Email slowness and outage result of hardware failure

K-State’s email service provider, Merit, experienced a hardware failure Thursday, Sept 27. While many of the mail stores are back up, they will continue through this morning to restore the remaining data.

K-State email aliases replaced by distribution lists

In the latter part of the spring semester, K-State email aliases were replaced with “distribution lists” by Information Technology Services. K-State email upgrade to occur Sunday morning

K-State email is being upgraded and will be unavailable from midnight-3 a.m. Sunday, July 29. No email will be lost. Any email received during this time will be queued and delivered when the upgrade is completed. Check the ITS Status page for updates.

Email issues on July 9 resolved

Around 8 a.m. July 9, Merit — K-State’s email service provider — experienced a hardware failure impacting slowness and connectivity. Email services were restored around 5 p.m. Information Technology Services apologizes for the inconvenience.

IT solutions: How to share files that are too large to attach to emails

Question: I need to send out a portfolio for an internship, but the files are just too large to attach by email. How can I get this project out?

IT Help Desk: As discussed in a recent article, email attachments are a fast, simple method of sharing smaller files, but file-size limitations can complicate the process. When sharing large files, such as for projects or portfolios, consider using the “Briefcase” sharing feature of Zimbra webmail. Sharing allows you to give other users permission to view and save large files, even if they do not have a K-State account. (For external guests, the file owner must create a password to access the shared briefcase and then give the password to non-K-State users who need to view the files. Question:  I am trying to send an attachment to my email in Zimbra webmail. What is the limit on the file size?

IT Help Desk:  The limit for each email in K-State’s Zimbra system is 50MB (megabytes) including attachments.  That’s 51,200KB (kilobytes); 1 megabyte = 1,024 kilobytes. That is substantially more than most email service providers allow (typically 10-25MB).  So, when you are considering sending a large file attachment, first check the file size.

This does not take into consideration that a file attachment needs to be encoded — which typically adds roughly 30 percent to the file size.  That means the upper limit for a file attachment(s) is closer to 35MB.  It depends on the content of the attachment.

Blocks cause problems with delivery of email

Over the last month, K-Staters have experienced an increase in blocked email from K-State to several email service providers.  Typically the user will be notified immediately that the email did not go through, however in some instances you might not learn of the block for several days. NOTE: Blocked email is not delivered.

Warning: Increase in phishing scam emails trying to steal K-State eID passwords

Attention, K-State faculty, staff, and students.

Since the start of the spring 2012 semester, K-State has seen a significant increase in the number of phishing scam emails that are trying to steal eID passwords. Thus far, at least 10 K-Staters have been tricked into providing their eID and password to criminals under the guise of needing to upgrade their webmail account or exceeding the mailbox storage limit.

THESE ARE ALL SCAMS. K-State IT support staff will NEVER ask for your password in an email. Do not under any circumstances reply to these scam emails or click on a link in the email and fill out a form with your eID and password.

Abide by this simple rule and you will be safe from these scams and others:  NEVER provide your password to anyone in response to an email!

Central email maintenance outage scheduled early Sunday, Sept. 4

K-State Zimbra, including K-State e-mail services, will be unavailable during scheduled maintenance from midnight to approximately 4 a.m. Sunday, Sept. 4. Users may receive an error message upon sign-in during this maintenance timeframe. No email will be lost; all queued email will be sent once services have been restored.

This routine maintenance should resolve some of the email slowness that K-Staters have been experiencing lately. Information about the outage is already posted on the ITS status page. Information Technology Services will restore service as soon as possible after maintenance is complete.
