ITS Reorganization Status – January 2020

Happy New Year everyone! I hope it was a restful and enjoyable holiday break.

It has been a while and I wanted to reach out again to share where we are in the first phase of the IT reorganization. We heard feedback regarding the October 2nd message about it being a bit overwhelming and there being a whole lot of reading involved, so will try to be a bit more streamlined this time around and only hit on progress and near term next steps. Let’s hope for the best ;-):

  • We are considering bringing in a consultant to help us assess our current Tier 1 support structure (service/help desk, tech support, etc.). Decision to move forward on the RFP should be made in January.
  • A budget request has been submitted to upgrade the current imaging system, ImageNow. Once funding is identified, an upgrade project will begin with assistance from the vendor.
  • Working in collaboration with the Associate Provost for Institutional Research, Dr. Bin Ning, we are considering bringing in a consultant to help us assess our current decision support structure (data warehouse and BI/analytics tools and team). Decision to move forward on the RFP should be made soon.
    • Dr. Ning has joined the Data Governance Committee and will lead a data standards sub-committee focused on data definitions and quality.
    • Dr. Ning and I will be leading a small taskforce to set the direction for a data warehouse and BI/analytics tools.
  • With Jennifer Gehrt’s retirement, Karen Noffsinger will have interim responsibilities for the BI team.
  • Physical Moves
    • Jan Elsasser will be moving to Unger Complex from Anderson Hall. She has been working from offices in both, but this will allow her to have more permanent roots.
    • The CRM team will be physically be moving to the Unger Complex from Anderson Hall early in the new calendar year – to be completed well before Spring Break. Details are still being worked out.
    • The Electronic Media Services team will move from Unger Complex to Dole Hall soon. This will allow for greater collaboration with DCM and access to better-quality facilities.

This reporting structure will take effect on January 5, 2020. Once this has been completed, the Deputy CIOs will work to organize the staff in their areas into service-based teams (some of this effort has already begun). We hope to share a full organizational chart in the next communication.

As we move into this brave new reorganized world, I am asking that we move away from our current unit names and acronyms (EST, ISC, ISO, iTAC, NTS, OME, PMO) and use the Deputy CIO Department names (Business Intelligence, Analytics, and Enterprise Applications; Emerging Technology and Innovation; Enterprise Technology and Client Services; Strategy, Planning, and Enterprise Architecture). Once we complete the next level of service-based team development, we can discuss naming conventions at that level.

Year-end evaluations will be completed by the current supervisors. Goal planning for 2020 will be completed within the new structure, align to the IT Strategic Plan, and include professional development goals.
