Using custom fonts in your PowerPoint presentations can give them originality over using the standard fonts that come with Microsoft Office and Windows. However, if the computer you’re going to be displaying your presentation on does not have the same fonts installed, they will be converted to a standard font or may not display properly. By embedding the font using the following steps, your presentation will display as you intended no matter what computer is used, as long as it’s running Windows and PowerPoint.
1. Create the PowerPoint as you normally do, using whichever fonts you like.
2. Click Save and then click the Tools button.
3. Select Save Options.
4. Click the Embed fonts in the file check box.
Notes:
- If the presentation is simply for showing to others, select Embed only the characters used in the presentation. This will keep the file size as small as possible.
- If other people need to be able to edit the file and don’t have the custom font, select the Embed all characters option. This will allow people without the font to edit the document using that font, but it will make the file much larger.
- The instructions for PowerPoint 2003 users are very similar, except the Tools button is located in the top right of the Save dialog box.
- Unfortunately, users of the Macintosh version of PowerPoint cannot embed fonts, nor can they see the fonts embedded in PowerPoint files created by the Windows version.
