PowerPoint 2007: Using information rights management to protect slide shows

Information rights management (IRM) is available in Microsoft Office 2007. This feature allows you to control access to your documents, workbooks, and slide shows. According to Microsoft Help, “this helps prevent sensitive information from being printed, forwarded, or copied by unauthorized people.” You can also set a file expiration date so content can’t be viewed after the specified date.

To activate this security feature, configure your computer to use IRM. The most recent Information Rights Management 2007 software must be downloaded and installed.  (Remove earlier versions of IRM first by clicking Start, then Settings, then Control Panel, then Add or Remove Programs, and so on.)

This feature requires user credentials. You have to have a .NET passport. You will have to choose whether you want a standard or temporary certificate.  (Department tech staff:  The Windows RM Account Certification Wizard may be downloaded to 25 computers maximum.)

  1. In Microsoft PowerPoint 2007, on the Review tab, click Protect Presentation.

  2. Click Restricted Access.

  3. In the Read box, enter the e-mail addresses of those who may read the document.
    Note: Separate names with a semicolon (;).
  4. (Optional) In the Change box, enter the e-mail addresses of those who may edit the document.
  5. Click the More Options button to set file-expiration dates (beyond which the file cannot be accessed), restrict the printing of contents, and make other changes.

    Note: If desired, click the Set Defaults button to set the default permission policy for all documents, workbooks, forms, and presentations with restricted permissions.
