Streamline your workflow with Quick Steps in Microsoft Outlook on the web

Quick Steps are shortcuts that allow you to perform multiple actions on an email with one click. Instead of doing each task separately, Quick Steps helps you streamline your work.

How to Set Up Quick Steps

  1. Open Outlook and go to the Home tab.
  2. On the toolbar, click Quick Steps.
  3. Click Add quick step
  4. In the Name box, type a name for the new Quick Step.
  5. Under Choose an action, select the action that you want the Quick Step to do. Select Add another action for any additional actions.
  6. Click Save.

Quick Step Examples

Move to Folder and Mark as Read

If you frequently move emails to specific folders, this Quick Step can handle it in one click.

  • Choose Action 1: Select Move to Folder, and choose the destination.
  • Choose Action 2: Add Mark as Read to clear it from your inbox.

Forward to Your Team

Do you often forward emails to certain teammates? Automate it with a Quick Step.

  • Choose Action 1: Select Forward to.
  • Choose Recipients: Add your team members’ email addresses.

Flag and Move to Follow-Up

If you want to flag important emails and organize them in a follow-up folder, this Quick Step is ideal.

  • Choose Action 1: Set Flag.
  • Choose Action 2: Add Move to Folder, selecting your follow-up folder.

How to Use Your Quick Step:

  1. Select an email you want to apply the Quick Step to.
  2. Go to the Quick Steps group on the toolbar and click your custom Quick Step.
  3. Outlook will perform each action automatically.

Edit or Delete Quick Steps

Need to make changes? You can easily edit or remove Quick Steps:

  1. Go to the Home tab, and in the Quick Steps group, click on Manage Quick Steps.
  2. You can edit, delete, or reorder your Quick Steps as needed.
