ImageNow: Keeping our confidential and proprietary data secure

As we continue to learn, teach, and work remotely, we all need to do our part to keep confidential or proprietary data secure by adhering to K-State’s Data Classification and Security Policy. ImageNow users need to follow the remote work guidelines.

Accessing ImageNow to view documents and process a workflow item

Desktop Client

The ImageNow Desktop Client should NOT be installed or configured on any personal computer. ONLY access ImageNow through the desktop client on K-State equipment or through a remote desktop connection to your K-State computer. If you are a Mac user, you have the option of accessing ImageNow through a remote desktop connection to a specific windows virtual machine. Browser Client (WebNow)

The Browser Client (WedNow) is ONLY accessible through Internet Explorer (IE) and can be used to look up and review documents, as well as processing documents through a workflow. For step-by-step instructions, view the Setup and Configure WebNow Access via Browser knowledge base article.

VPN Connection to the Campus Network

The Global Protect VPN MUST be used before logging into ImageNow while off-campus. Install downloads and instructions are available for those using a Windows computer or Mac computer. If you use Cisco AnyConnect, it’s advised that you uninstall that VPN and install Global Protect, unless directed otherwise. AnyConnect will be discontinued later this spring.

Capturing documents into ImageNow

Scanners

Devices, or any confidential or proprietary data on physical documents, should NOT be taken off-campus. Scanners should NOT be installed or configured to capture documents into ImageNow while off-campus. If scanning documents is part of your job responsibility, please ask your supervisor to work with your Dean or Cabinet member to have your work identified as mission-critical.

ImageNow Printer

Do NOT transfer any confidential or proprietary electronic documents off-campus. ONLY ImageNow Print through a remote desktop connection from your K-State desktop. This will ensure that all confidential and proprietary data remains on campus.
