IT Update: May 2021

In May, the Division of Information Technology celebrates our student employees who are graduating and our retiring staff. We also prepare for the next academic year. Some of our projects are provided below.

As the semester winds down, the Division of IT is interested in receiving feedback from instructors and departments about how their classroom technology needs are evolving and how the technology available this year has worked out in support of teaching and classroom needs. IT is working with Facilities, the Registrar, the Provost, and academic units to ensure we are aware of and can support the evolving needs of student learners and instructional staff. Please complete this survey regarding centrally scheduled classrooms so that we can better plan for and meet your needs.

Eleven centrally scheduled classrooms are proposed for refresh this summer with discussions in progress. Specific room information will be available at the end of the planning stage.

A campus-wide discussion around centrally managed student computer lab spaces will begin in the Fall to help the university plan for the appropriate use of those spaces. IT will be requesting input from students and staff later this year.

The Data Analytics Project team is now reviewing the assessment and findings.

Qualtrics released the Survey Builder tool in a soft launch, which will be available to everyone on March 31. Test out the capabilities now when you create a survey.

Beginning July 5, all Zoom recordings older than 180 days (Jan. 4, 2021, or older) will be automatically moved to Zoom Trash. Going forward, all Zoom cloud recordings will be deleted from Zoom cloud storage 180 days from the date of creation. These recordings will be moved to the Zoom Trash folder and available for 30 additional days for recovery before permanent deletion.

In line with the Official Record Retention Schedules, after August 1, IT will no longer retain any course content data from K-State Online, the homegrown Learning Management System, used from 2008-2013 and retired in 2016. Faculty can submit a request to have data archived from the system. Data will not be recoverable after August 1.

On August 31, K-State’s existing personal webpage service will be retired. IT recommends faculty and staff publish relevant content, including bios, curriculum vitae, and research information on their academic or administrative unit’s presence within the Content Management System (CMS). If the content is personal in nature, use free blogging or commercial web hosting services.

A change freeze is in effect from 12:01 a.m. Monday, May 3 through 11:59 p.m. Tuesday, May 18. The goal of the change freeze is to protect critical K-State enterprise systems from potentially disruptive changes that would affect end-of-semester activities.

HRIS, KSIS, and DARS will be unavailable from midnight – 4 a.m. on May 9. Maintenance will be performed on the Oracle PeopleSoft systems.

The Financial Information System (FIS) will be unavailable from 6 p.m. Saturday, May 22, through 6 p.m. Sunday, May 23 for monthly maintenance. FIS is undergoing a major application upgrade, with rollout slated for October 2021.
