Office 365 is K-State’s soon-to-be new collaboration service that integrates email, calendaring, notes, and task management (and discontinues Zimbra email/calendaring). This information and other frequently asked questions have been posted to K-State’s Knowledge Base at FAQs about Office 365.

July IT happenings include email cleanup, Office 365 testing, Zoom videoconferencing

Email cleanup of Zimbra inboxes should be foremost on every K-Stater’s to-do list, with the impending transition from Zimbra to Office 365.  For tips and how-to, see: Office 365: Information for cleaning out your Zimbra mail.

Start cleaning out your webmail before migration to Office 365

The university will migrate email and calendaring to Office 365 this summer. What can you do now to start preparing for the move? Reduce your mailbox size as much as possible by deleting emails you no longer need. Cleaning out your mailbox will make for a smoother transition for everyone.

To see how much space your account is using on the server, place your mouse over your name in webmail and it will display the amount of space you are using.

Before deleting messages, Information Technology Services encourages everyone to review K-State’s Retention of Records policy. For any questions regarding data retention, contact the university archivist Cliff Hight (chight@k-state.edu). More information about the migration plan and process will be shared with the K-State community in the coming months, through K-State Today, IT NewsTwitter, Facebook and K-State’s Office 365 website.

From CIO Ken Stafford: Microsoft 365 to replace current university email system

Dear Colleagues and Students,

In July the university’s email system will switch over to Microsoft 365, a full-featured email client used by professionals around the world. Among the enhancements you are likely to see are improved reliability, enhanced security and spam and phishing protection, more robust calendar features, and compliance with federal data locations and security — a necessity for K-Staters working with federally funded grants.  Users who forward their email to open systems like Google, Yahoo and Hotmail will still be able to forward email to such systems.  Continue reading “From CIO Ken Stafford: Microsoft 365 to replace current university email system”

Options for resolving blocked email issues

K-State has had email blocked by Hotmail, MSN and Live365 off-and-on since September 2012, which is more than any other email service provider. Report from Email Upgrade Committee is available online

The Email Upgrade Committee submitted its report to Ken Stafford, CIO, in late December. The report (PDF format) is available online for review by K-Staters. The committee decided to collect more in-depth information about calendar functionality from users. This information was used to determine if necessary and critical features were available in Google Apps for Education and Microsoft Office 365. Committee members are in the process of comparing the functionality to both solutions and will meet with university administration soon to discuss their findings.

Email upgrade committee analyzing survey results and finalizing report

The email upgrade committee is finalizing its report. The committee has received positive and negative feedback about the survey of email options sent to all Kansas State University faculty, staff and students. One of the purposes of the survey was to educate the campus about the available options. While the timing for the survey was not ideal, the committee’s report is due on Dec. 20. Email upgrade committee hosting calendar function demonstration

The email upgrade committee will have a demonstration of the calendar functions in Google Apps for Education and Microsoft 365 from 1:30-3 p.m. today in the Big 12 Room at the K-State Student Union.

Seth Galitzer, computing and information sciences, and David Williams, housing and dining services, will be presenting the calendar functions.
